Waitlist Policy
1. When as class reaches capacity with fully paid cleared entries the class will be closed by the Committee and a Waitlist may be created.
2. This will be notified where possible on the Roydvale Website, Facebook pages and within the Entry Form header online. However, multiple entrants and payments within one day may take a class over capacity not allowing notification before entries or payments are made.
3. Only complete and fully paid entries will be Waitlisted. You are waitlisted from the date of your payment, therefore - no payment = not waitlisted.
4. When a space becomes available in the appropriate class(s), those on the Waitlist will be automatically added to the class based on the following priorities:
a. Priority 1 Entrants - Entrant has paid in full, is providing a helper or helping setup prior to the event, then date and time paid at bank.
b. Priority 2 Entrants - Entrant has paid in full, then date and time paid at bank.
5. If there are not sufficient Priority 1 or Priority 2 entrants, the Committee may choose to advertise these spaces. Only when a Entry becomes complete and fully paid, and thus becomes a Priority 1 or Priority 2 Entrant, will that space be consumed.
6. Refund Policy for Waitlist Entrants:
a. If a space does not become available by the specified time/date publicised for the competition, the Entrant will receive a full refund of their Entry fee to their nominated bank account.
b. If a space becomes available, the Entrant is automatically slotted into the space and is then covered by the standard Conditions of Entry refund policy (ie. Vet or Medical certificate required).
7. Refunds will only be processed for classes with oversubscribed spaces. If you elect to not compete and give up your spot, and all spots are not taken up to 1 day before the event, no refund will be processed.
